A Purchasing Officer

Role required

  • Assist purchasing manager on source, review, and recommend the hotel supplies.
  • Process document, file all the purchase request (PR) and purchase order (PO), and update in system.
  • Purchase food according to the standard set by purchasing manager
  • Review and purchase non-food products request from all departments.
  • Review specification of all food products are correctly to chef requirement by cooperation with chefs, receiving and checker by daily basis.
  • Review all requirements through purchase list for food product from chef requirement before approval to be PO.
  • Cooperation with receiving by co-checking all food product delivery by daily basis.
  • Review for all of food certificate and update by yearly and maintain filling system.
  • Communicate in a friendly, tactful and professional manner with guest, suppliers as well as colleagues
  • Be informed and keep your supervisor informed of all matters that may affect your work, the hotel’s service or reputation
  • Always present a clean and tidy appearance in accordance with the hotel’s grooming standards
  • Be flexible and open to change in your job responsibilities, work area and/or roster to meet business needs
  • Be understanding, supportive, encouraging and helpful to guests as well as suppliers and your colleagues
  • Care about your work environment and make sure it is tidy and well maintained
  • Be reliable and ensure you are at work on time
  • Know your role in case of emergency such as bomb threat, flood, fire etc
  • Understand the Employee Handbook and comply with the standards it outlines
  • Carry out all professionally reasonable instructions given by your supervisor
  • Check purchase requests and obtain quotations in accordance with established standards
  • Assist the Purchasing Manager in sourcing new suppliers if current suppliers do not offer the items requested
  • Process purchase orders
  • Process the daily market list
  • Advise the Purchasing Manager on quotations recommending suppliers offering the most competitive price whilst taking consideration quality, delivery time and consistency of supply
  • Have a good understanding of the type, quality and pricing of all purchase items regularly required by the hotel


  • Bachelor’s Degree in finance and/or equivalent/relevant degree
  • Excellent knowledge of all marketing content creation tools and the ability to match content creation to the hotel industry
  • Excellent English, particularly in verbal communication skills
  • Be honest, trustworthy, respectful, and helpful,
  • Strong interpersonal skills and the ability to work effectively
  • Strong analytical, problem solving, time management and organizational skills.
  • Willingness to work irregular hours and on weekends, as reasonably required
